The Challenges

    1. Business Productivity
      During video meetings and conferences, staff members spent the first 10-15 minutes troubleshooting, which involved configuring audio and video devices necessary for the meeting. This pain has substantially impacted the firm’s overall productivity.
    2. Lack of Unified Communication Tool
      The firm’s management wanted a seamless experience for teams during meetings. Additionally, they wanted a communication platform where different teams could easily collaborate on various projects. The platform also needed to integrate smoothly with existing tools and applications, such as HubSpot, already in use by the teams.
    3. Video Conference-Ready Meeting Rooms
      With multiple offices scattered across the globe, video meetings play a significant role in their business processes. Not only can they reduce costs, but video meetings also enhance productivity and collaboration between their offices. Therefore, the management wanted to ensure that the meeting rooms in each office were video-conference-ready to improve meeting quality and the team’s productivity.
    1. Zoom & Microsoft Teams Compatible Meeting Rooms and Equipment
      With key clients accustomed to the Zoom interface for video meetings, the firm wanted to ensure that the video conferencing equipment in their meeting rooms will be compatible with both Zoom and Microsoft Teams.

Assessment and Interview

NSN Infotech conducted a comprehensive assessment of the firm’s needs, including interviews with employees to understand their work processes and requirements fully. This approach ensures a comprehensive understanding of the firm’s situation. Given that the employees will use the new product daily, it should be a product that suits their needs well.

Microsoft Teams Migration

  • Getting People on Microsoft Teams. Since the firm is already on Microsoft 365, getting people onboard the Teams environment went smoothly but to have people immediately shift to a communication tool isn’t quite easy. To address this, we help multiple training sessions and Q&A to get people accustomed to the new communication platform.
  • Video Conference-Ready Meeting Rooms. In Australia, the firm had 18 meeting rooms spread across various offices in different cities. To make each of these rooms video-conferencing-ready, we procured necessary equipment such as televisions, computer setups, and tabletop devices.

    We also configured the wiring network to ensure neat and professional-looking conference rooms for the firm. The completion of each meeting room took a day (18 days in total). For offices outside Australia, NSN Infotech hired contractors to ensure that all global offices were properly set up.

As these are relatively new products, the team conducted multiple training sessions and Q&A sessions to help the staff get accustomed to using the new communication platform and video conferencing equipment.

  • Employees can easily switch between Microsoft Teams and Zoom meetings, as the Yealink products are already configured to cater to both platforms in each of the video-conferencing meeting rooms.
